The Executive Assistant to the President at Junior Achievement of OKI Partners provides high-level administrative support to the President/CEO, ensuring smooth operations, strategic planning, and effective communication across the organization. This role involves handling sensitive and confidential information, managing schedules, coordinating meetings, and assisting in the preparation of materials for board meetings, events, and donor engagement. The Executive Assistant also serves as a liaison between the President and internal/external stakeholders.
Primary Responsibilities:
• Administrative Support: Manage the President’s daily schedule, including calendar management, appointments, meetings, travel arrangements, and preparation of meeting materials.
• Communication: Serve as the primary point of contact for internal and external communications on behalf of the President, including drafting emails, letters, reports, and presentations.
• Board Relations: Assist in coordinating board meetings, prepare board packets, take and distribute minutes, and ensure timely follow-ups on action items.
• Event Coordination: Assist in the planning and execution of events, including donor meetings, fundraising initiatives.
• Donor Relations: Ensure timely preparation and distribution of donor acknowledgment letters and other recognition communications.
• Project Management: Support the President in tracking key initiatives, strategic projects, and organizational goals, ensuring deadlines are met and relevant teams are aligned.
• Office Management: Assist with general office duties, including filing, record-keeping, and supply management, as well as other tasks as needed to maintain efficient office operations.
• Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism.
Qualifications (required)
• Minimum of 3-5 years of experience as an executive assistant, preferably supporting C-level executives.
• Strong organizational skills and attention to detail.
• Excellent written and verbal communication abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to multitask, prioritize workload, and meet deadlines in a fast-paced environment.
• Strong interpersonal skills, with the ability to build relationships across all levels of the organization.
• Experience with non-profit organizations or educational institutions is a plus.
Qualifications (desired)
• Familiarity with donor management software or CRM systems.
• Event planning experience.
• Knowledge of Junior Achievement’s mission and programs.
